"TRAVELLING AMBASSADOR OF THE UP" grant programme, supplementary call for applications - Fall 2025

The International Centre of the University of Pécs is announcing a supplementary call for applications for the "Travelling Ambassador of the UP" program for Fall 2025. Applications are welcome from our international PhD students and professors as well!

The objective of the programme is:

The “Traveling Ambassador” program aims to support participation in international conferences, workshops, artistic, or sports events, primarily held abroad. All full-time and part-time faculty members, researchers, and active PhD students of the University of Pécs are eligible to apply. The program is designed to support the professional work and career advancement of the applicant while also strengthening UP’s international visibility and recognition. In addition to receiving financial support, the selected colleague or PhD student will also take on responsibilities related to the institutional representation of the University of Pécs. After prior preparation, the “Traveling Ambassador” will meet with representatives of the University of Pécs’ partner institutions attending or reachable at the given conference/workshop/event. Alternatively, they will carry out specific tasks on behalf of the International Centre of the University of Pécs at the university or city hosting the event.

Application guidelines:

  • Each faculty member/researcher/PhD student can only receive support once per year.
  • If a faculty member/researcher/PhD student has already received funding for the given year, they cannot submit another application for that year.
  • Applications involving existing, strategic partnerships will be given priority during the evaluation process.
  • From the same faculty/institute/doctoral school, only one person may receive funding to participate in a specific conference/workshop as a Traveling Ambassador of the UP.
  • If a faculty member/researcher/PhD student has already received funding to attend a specific conference/workshop/event through the “Traveling Ambassador of the UP” Support Program, no further funding will be awarded to others for the same event. Period: Applications can be submitted for participation in international conferences/events taking place between October 20, 2025, and December 15, 2025. (The return date must not be later than December 15, 2024.)

Application deadline: September 30, 2025 (Tuesday), 24:00

Evaluation of applications: The ad hoc Evaluation Committee of the International Centre of the University of Pécs will review the applications within 5 working days after the submission deadline.

The application documentation must include:

  • application form (signed and scanned in .pdf format, and also in .doc format without signatures)
  • professional description (including the title of the conference/workshop presentation/performance, a brief description, the anticipated professional benefits of the conference/workshop/artistic or sports event, and a detailed description of how the funding will be used)
  • professional CV or a link to it online
  • invitation letter for the conference/workshop/artistic event/sports event, and in the case of a conference, confirmation of the presentation, or for artistic and sports events, confirmation of participation!

The application documentation must be submitted exclusively electronically. The preferred file formats are .doc and .pdf.

Maximum funding amounts:

  • For conferences/artistic events/sports events in Europe: HUF 250,000
  • For conferences/artistic events/sports events outside of Europe: HUF 450,000
  • For online conference/workshop registration fees: up to the registration fee amount

The funding can only be used for material expenses (travel costs, accommodation costs, and conference registration fees). It cannot be used for personal expenses or per diem payments.

Note: Applications will be reviewed based on the available financial budget.

Utilisation and deadline for accounting: The Grant may only be used by the Recipient, in cooperation with the International Centre and through the Travel Unit of the Chancellery, under a public procurement procedure to cover the costs of airfare, international train tickets, international bus tickets, accommodation, conference registration fees, and travel by private car. Previous bookings and reservations made through other channels cannot be charged to the grant!

In accordance with the University of Pécs Mission Rules, the recipient is required to submit a professional report within 15 days of the trip and send it to utazonagykovet, with a copy to kikuldetes">kikuldetes

The professional report should include:

  • a brief summary of the main details of the trip (duration, location, purpose of the trip, and the participant's role)
  • a brief summary of the professional achievements of the trip (e.g., negotiations or meetings in the interests of the University, presentations, preparation of contracts or joint programs)
  • a short summary, in a few sentences, on the benefits and value of the trip/mission for the University.

If the recipient fails to comply with these content requirements, they will be excluded from the following year's program. In the event of the cancellation or a change in the date of the event, the recipient must notify the International Centre in writing without delay.
